Project Manager - Indoor Hazardous Materials

Waterloo, ON

Our client in the Kitchener-Waterloo, Ontario region is looking for a Project Manager specializing in Indoor Environmental Quality and Hazardous Materials to join their team!

This individual will act as a direct liaison with current clients and develop relationships with new ones, while participating in staff development (including training, coordination, and quality control for junior staff).

Duties and Responsibilities will include, but are not limited to:
1. Prepare proposals for hazardous materials investigations and remediation/abatement work
• Review requests for proposals or interview clients to determine scope of work
• Develop work plan and scope of consulting assignment
• Prepare draft proposal for final review by Operations Manager, Technical Manager or SVP
• Negotiate time and cost with clients

2. Performing hazardous Materials investigations and remediation/abatement work
• Scheduling inspections, surveys and meetings with clients/contractors
• Entering and being comfortable in hazardous environments, including asbestos removal and other hazardous materials abatement, such as lead, designated substances, PCBs, microbial contamination, etc.
• Ensuring the well-being and safety of workers and building occupants relative to work for which the company is responsible
• Preparing hand written (or typed) site inspection reports in a neat and legible manner
• Collecting air samples and preparing samples for analysis
• Perform hazardous materials assessments on all types of buildings and structures
• Identification and sampling of suspect hazardous building materials
• Detailing field work in notes, drawings or data sheets as appropriate in a clear and concise manner

3. Overseeing Hazardous Materials Consulting Projects
• Scheduling inspections, surveys and meetings with clients/contractors
• Assigning work to junior staff as appropriate, depending on workloads and in conjunction with Operations Manager
• Arranging for, supervising, and/or performing hazardous materials assessments and reports for all types of buildings and structures
• Designing sampling programs, and interpreting analytical or test results
• Being familiar with and providing clients with advice on appropriate regulations and guidelines
• Developing asbestos management programs
• Coordinating work and client contacts with other groups within the company
• Performing all other relevant tasks as assigned by the Operations Manager and/or Department Head

4. Preparing contract documents for hazardous materials abatement projects
• Investigate areas for abatement and remediation
• Collect samples as necessary
• Prepare contract documents using standard templates
• Tender work to contractors and conduct site tours
• Assist clients with bid evaluations

5. Financial Responsibility for assigned Projects
• Preparing and negotiating proposals and contracts with prospective and existing clients
• Ensuring projects are performed to meet intent of proposal to client satisfaction
• Issuing of amendments and change orders to address changes of scope, schedule or responsibilities
• Timely processing of subcontractor invoices, review of employee charges on projects, modification of pre-bills and approval of bills
• Effective management of work in progress (WIP) to ensure work is billed accurately and on a timely basis
• Understand WIP reports and be actively clearing WIP >30 days when possible
• Providing assistance to accounting personnel
• Completing projects to pre-established budgets with a positive variance in line with group average
• Completing timesheets and expense claims on time
• Preparing invoices on a timely basis in line with company requirements, and to the satisfaction of the client

6. Business Development
• Participating in company marketing initiatives
o Completing follow up calls with clients regarding recommendations, reassessments, etc.
o Warm calling of existing clients or client leads
o Providing documentation of all BD calls made to existing or potential clients
o Participate when required at tradeshows, conferences, etc.
• Return client calls within 24 hours, preferably the same day
• Performing direct marketing to clients
• Meeting with clients to determine clients’ requirements
• Preparing proposals for clients, including cost estimates, for review by the Operations Manager, Technical Manager or Department Head
• Maintaining long term client relationships
• Representing company in a professional & courteous manner
• Respond to client emergencies

7. Supervising, Training and Mentoring of Staff
• Ensuring that assigned employees are performing their work in a safe manner
• Supervising assigned employees and monitoring their job proficiency
• Providing technical assistance to assigned employees
• Controlling and monitoring the quality of work performed by assigned employees
• Reviewing work of assigned technologists

8. Maintaining Quality Control
• Participating in all quality control initiatives
• Reviewing the work of assigned employees and colleagues to ensure it meets the standards and requirements established in proposals
• Reviewing their own work prior to submitting for quality review
• Submitting all work for quality review prior to submission to clients
• Making suggestions to Operations Manager to continually improve work quality

Required Skills and Qualifications will include:
• Diploma/Degree in Environmental Engineering/Technology from an accredited institution
• 7+ years of experience in Indoor Hazardous Materials
• 2+ years of experience specifically in a Project Manager or Senior Technician position
• Must be able to effectively integrate into a growing team
• Work with minimal supervision
• Strong knowledge of Microsoft Office suite
• Valid driver’s license, vehicle, and insurance is required
• Criminal Background Check will be conducted to gain security access to some restricted job sites.
